Position Overview:

We are seeking a skilled and detail-oriented Medical Admin Assistant/Team Leader to join our team at Private Secretary Group. As a Medical Administrative Assistant, you will play a crucial role in providing essential support to our medical clinicians and ensuring the smooth operation of our administrative processes. Your exceptional organisational abilities and strong medical office knowledge will contribute to delivering efficient and exceptional administrative services to our valued clients.

Responsibilities:

Patient Records Management:

  • Maintain and update patient records and files in compliance with confidentiality and privacy regulations.
  • Accurately input patient information into the electronic health records (EHR) system.
  • Organise and maintain digital patient files for easy access and retrieval.

Appointment Scheduling and Coordination:

  • Manage clinician calendars and efficiently schedule patient appointments.
  • Coordinate and reschedule appointments as needed, ensuring optimal time management.
  • Send appointment reminders to patients to minimise no-shows.

Communication and Correspondence:

  • Answer phone calls, emails, and other enquiries in a courteous and professional manner.
  • Handle patient enquiries and direct them to the appropriate medical staff for assistance.
  • Prepare and send out routine correspondence, such as letters and memos, as required.

Medical Billing and Insurance:

  • Assist in processing medical insurance claims and verifying patient insurance information.
  • Coordinate with insurance providers to resolve billing and claims issues.
  • Maintain accurate billing records and ensure timely processing of invoices.

Office Support:

  • Assist with general office tasks, including filing, photocopying, and office supply management.
  • Collaborate with other administrative staff to ensure a cohesive and efficient workflow.

Compliance and Regulations:

  • Adhere to all relevant medical and administrative regulations, including guidelines for patient confidentiality.
  • Assist in maintaining the office's compliance with industry standards and best practices.

Requirements:

  • Proven experience as a Medical Administrative Assistant or in a similar medical office role.
  • Proficiency in using electronic health records (EHR) and medical billing software.
  • Excellent organisational skills and the ability to multitask effectively.
  • Strong attention to detail and accuracy in managing patient records and billing information.
  • Outstanding communication and interpersonal abilities for effective patient and staff interactions.
  • Knowledge of medical terminology, procedures, and insurance practices.
  • Familiarity with relevant privacy and confidentiality regulations, including guidelines for patient data protection.
  • Ability to work independently as well as part of a team in a fast-paced environment.

Salary: From £27,899.71 per year
